Managing Large-Scale Web to Print Projects Using Spreadsheets

Managing an online storefront can be difficult—especially as you expand your online offerings and catalogs. Many print shop teams have web to print solutions that involve monotonous, mind-numbing data entry to add and update catalog items. But PageDNA has developed a way to make editing large data sets faster and more efficient than ever—using the power of spreadsheets.

Efficiency: Your Key to Success

Print shops have to maintain low costs and healthy production to stay competitive in today’s market. One of the most common misconceptions about web to print that print shops have is feeling like their customers don’t want the technology. But digital screen based ordering is here to stay, and it meets customers where they are 24/7 while increasing your print shop’s overall efficiency.

Every vendor has different direct costs for their platform. But the time your team takes to build, update, and maintain your digital storefront is a large part of your indirect costs—which are very real costs, indeed. These indirect, or “soft”, costs are one of the first places you should look to streamline operations.

By making storefront management processes more efficient, you give time back to your employees, allow for space to focus on expansion and growth, and accelerate your print and marketing eCommerce strategy.

The Consequences of Lost Time

Let’s paint a picture. Your team has hundreds, maybe thousands, of rows of catalog items or addresses that need to be regularly updated or edited. On top of that, pricing is changing, new items are coming online, locations are opening, and others are shutting down. You need to manually update your storefront on a regular basis. But how much is this costing your team without any automation?

It’s costing a lot:

  • Hours of lost time
  • Editing each line individually
  • Mind-numbing, uninspiring work
  • Staff burnout
  • A light case of carpal tunnel syndrome (or other health consequences for workers)

Work Faster With Spreadsheets

Our Item Editor is the heart of your PageDNA digital catalog. It’s where you can configure each and every catalog item using our spreadsheet tool. Just download a list of current catalog items, open them in Excel, and edit them to your heart’s desire. Once you’ve finished editing, upload them back to your storefront, and the changes are automatically saved.

In the same way, you can mass edit address lists, shipping addresses, cost centers, divisions, discounts, the content in the content library, and other large sets of data in PageDNA.

PageDNA’s tools are smart. They ensure your column names align with how your storefront stores data by asking you to confirm the matches and “maps” it into our system, putting the correct data in the correct cell and column. You can work even faster using one of our templates from the start. When uploading a list, PageDNA’s system gives you two options. First, you can opt to update just the items in the uploaded list. Alternatively, you can select the replace option, which deletes everything in that current data list and replaces it completely with information in the spreadsheet.

These tools have a huge impact on your team, especially when working with data sets with hundreds of rows or columns. The ability to download these data sets and make changes in bulk will give hours—if not days—back to your team and is often cited as an advantage of PageDNA over competitive systems.
